Who we are
Veterian Software ("Veterian", "we", "us") provides a cloud-based veterinary practice management platform ("Platform") used by veterinary clinics to manage appointments, clients, and patient records. This Privacy Policy explains how we collect, use, and protect personal data.
Our role under data protection law
Veterian acts in two different capacities depending on the type of data being processed:
- As a Data Controller – for data related to our own business operations and customers (veterinary clinics), such as account details, billing information, usage data, and support communications.
- As a Data Processor – for data that veterinary clinics enter into the Platform about their clients and patients (for example, pet owners' names, pets' medical records, contact information). In these cases, the clinic is the data controller, and Veterian processes that data on their behalf and according to their instructions.

What data we collect
- Account data: clinic details, contact name, email, phone, address
- Usage data: app activity, device/browser information, IP address, timestamps
- Registration data: when you register for an account, we collect your IP address for security and fraud prevention purposes (including bot detection and spam prevention). This helps us protect our platform and verify legitimate registrations.
- Support data: messages and attachments sent through our support channels
- Client and patient data (processor role): information about pet owners and their animals entered by clinics. This data is controlled by the veterinary clinic and processed only according to their instructions.
Why we process data (legal bases)
- To provide and secure the Platform (contract necessity)
- To communicate with you (contract necessity and/or consent)
- To improve and troubleshoot the Platform (legitimate interests)
- To comply with legal obligations
Retention
We retain personal data for as long as your account is active or as required by law. Backups are retained for a limited time and then securely deleted. For client and patient data entered by clinics, retention is managed by the clinic as the data controller.
Sharing and subprocessors
We use carefully selected third-party service providers ("subprocessors") to operate the Platform securely and efficiently. These providers may process limited data on our behalf, including:
- Crisp (customer messaging) – see their policy at crisp.chat/en/privacy. Loaded only after cookie consent.
- Google Analytics – website analytics; loaded only after cookie consent. Policy: business.safety.google/privacy
- Google Tag Manager – tag management for analytics/marketing; loaded only after cookie consent. Policy: business.safety.google/privacy
- Google Fonts – web font delivery. Policy: business.safety.google/privacy
- Google reCAPTCHA – bot/spam protection on forms. Policy: business.safety.google/privacy
- IP detection services (ipify.org, icanhazip.com) – used to verify user IP addresses for security purposes during registration. These services may process your IP address. Policy: ipify.org/privacy
- Cloudflare – CDN, DNS, performance and security. Policy: cloudflare.com/privacypolicy
- Amazon Web Services (AWS) – hosting and infrastructure. Policy: aws.amazon.com/privacy
- DigitalOcean – infrastructure and services. Policy: digitalocean.com/legal/privacy-policy
We do not sell or share personal data for marketing purposes. We may disclose information only if required by law or necessary to protect our rights, users, or the Platform.
International data transfers
Where data is transferred outside your country, we apply appropriate safeguards (such as Standard Contractual Clauses) to ensure compliance with applicable law.
Your rights
If you are a veterinary clinic using our Platform, you may have rights to access, correct, delete, or restrict processing of your account data. You can exercise these rights by contacting us atsupport@veterian.com.
If you are a pet owner or client of a clinic that uses Veterian, please contact your veterinary clinic directly to exercise your data rights (including deletion requests), as they are the data controller for your information.
Cookies
We use essential cookies to operate the site and improve functionality. Non-essential cookies (such as chat or analytics) are used only with your consent. You can manage cookie preferences through the cookie banner. The Crisp chat widget and Google Analytics/Tag Manager load only after consent.
Security
We apply technical and organizational measures to protect personal data against unauthorized access, alteration, disclosure, or destruction. All data transmitted and stored on our servers is encrypted and hosted on secure infrastructure.
Changes
We may update this Privacy Policy from time to time. The latest version will always be available here, with the "Last updated" date shown above. Where appropriate, we may notify you via the Platform or email.
